Order Processing & Administration Position

We are looking for an upbeat, precise, hard-working team member with strong communication skills, excellent computer and internet skills for our Order Processing Department.

The primary purpose of this role is to process sales orders from entry through shipment and invoicing for domestic and international orders. This person will work closely with team members to ensure accuracy and completion of all order processing steps. This includes working with inventory control, warehouse personnel, production facility, logistics companies and customers.

Required Skills and Traits:
  • Proficiency in Quick Books, Excel, EDI knowledge and Internet Vendor Portals Experience.
  • Precise data entry and processing.
  • Ability to generate system reports covering status of orders, customers and other order fulfillment key processing indicators.
  • Friendly demeanor and can-do attitude!
  • Polished e-mail and telephone etiquette.
  • Focus and dedication to tasks.
  • Ability to anticipate next steps and act proactively.
Key functions of this job include:
  • Coordinate with sales team regarding order status, shipping dates, product availability and back orders.
  • Support entry of new pricing and promotions.
  • Obtain appropriate approvals for non-standard requests.
  • Provide support to sales personnel relating to orders and accounts.
  • Effectively and appropriately interact and communicate with the warehouse.
  • Follow up with customers regarding order confirmation.
  • Obtain additional information as necessary from a variety of sources.
  • Regularly review and reconcile reports to identify potential customer issues.

 

Two (2) to three (3) years related experience is necessary. In addition, you should have the ability to resolve complex issues with minimum supervision and coordinate activities with other departments to meet deadlines. You should have the ability to take corrective actions or escalate issues to appropriate departments as well as the ability to prioritize incoming requests based on sales and customer needs.

Some additional requirements are:
  • Strong customer service and retention skills required.
  • Strong computer skills, including word processing skills sufficient to carry out vital department functions.
  • Strong written and verbal communication skills.
  • Ability to communicate effectively and interact with the sales team and other divisions of the company.
  • Excellent organizational skills.
